How to Avoid a Mail Being Delivered as a Spam

  • Back in 2010, it was estimated that around 247 billion emails are sent in a single day. Fast forward to 2017, statistics group called Radicati Group estimates that around 269 billion emails are sent per day. Unfortunately, the majority of all them fall under the spam category.
  • All Internet Service Providers (ISPs) wage brutal war against spammers to avoid scam, hoax, deception and extortion. Unfortunately, the victims are not always the spammers but also the good-willed email marketers who don’t have luck or have enough experience.
  • Every marketing and sales department in all businesses and organizations are under constant pressure of having their campaign mails going into the spam section of their customers and clients. This leads to the loss of potential clients and revenue for the businesses and organizations.
  • Every ISP have “spam traps” as their first line of defense against spammers. Spam trap is specifically designed for identifying and trapping spammers’ email addresses. If ones triggered email hits such an address, then it is immediately flagged as a spammer by an ISP. If an email address is flagged by spam trap, then then Ip address and domain of that email address might also get blocked.
  • ISP’s second line of defense is the “spam filters”. Spam filter is a program that filters out unwanted and unsolicited bulk email, thus preventing the mail from ever reaching the email inboxes. There are some simple functions that can be followed to avoid being blocked as a spam by the spam filter.
    • It’s a good practice to always strive to send emails from an email address that contains preferably your personal name with your brand name so that the recipients recognize you.
    • One must choose a good email service provider as they gain good reputation to rely on.
    • The email can also be accredited by a third party that acts as a guarantee to the ISPs that the email sender is not a spammer.
    • There are certain tools, like Multirbl.Valli or MxToolbox, that let one to check if they are a blacklisted sender or not.
    • One can always test their mail before sending them to their clients or customers like in the Mail Tester which mimics spam filters for emails.
    • One must keep their email list clean to avoid spam traps and spam filters.
    • One must never buy their email lists from others as they might contain inactive or dormant addresses or recycled spam traps.
    • One must pay attention to the inactive or dormant subscribers for not opening, reading and clicking your emails
    • One can ask their subscribers to add them in the contact list to avoid spam.
    • There must always be an unsubscribe section in the mail to respect the subscribers and the law.
    • Subject line of the mail also play an important role in being spammed.
    • One must use uppercase letters or use more exclamation marks as they can be considered as shouting.
    • Avoid the words that trigger the spam filters and spam traps like “money”, “income”, “guaranteed”, etc.
    • One must make sure that the mail must corresponds to the subject line.
    • The email body must also be proper by avoiding rich media content, attachments, embedding forms, etc.
  • One must pay attention to the technical issues, subject lines, email body and mailing lists to avoid triggering as a spam. By following up with the subscribers and customers in a timely manner, one can preserve their IP address and domain from being blocked
